Horaxa / HVAC and refrigeration

For HVAC, refrigeration and ventilation companies

Summer fills the diary. Don’t let it empty your margin

Horaxa is the management software for the owner or manager of an HVAC company. On a single screen you see which maintenance contracts, breakdowns and installations are making you money and which are costing you, how many hours each technician has put into each job and what material has been used. Your technicians log it from their phones and you stop chasing timesheets.

Where the money goes

Three types of job, three ways to lose margin without noticing

From the office you can’t see how many hours each job took until payroll or the invoice arrives. In an HVAC company you don’t lose money the same way on a breakdown as on a contract or an installation, so Horaxa doesn’t mix them up.

Corrective

The urgent breakdown

Your technician spends an hour and a half in the van, goes back a second time because a part was missing, and nobody records the pressure switch taken from the stores. You pay for all of that and never see it.

With Horaxa you see: Travel hours and working hours separately, and the part charged to that breakdown, without anyone calling to tell you.

Preventive

The maintenance contract

You charge a fixed annual fee and the hours aren’t fixed. Four visits turn into seven and nobody adds up the “included” breakdowns. The contract loses money in silence.

With Horaxa you see: The clock on each contract. It warns you at 80%, before you renew at the same price.

Project

The new installation

The quote was done by eye, the refrigerant lines got complicated, and you only find out the margin once it has been invoiced.

With Horaxa you see: The clock turns orange as soon as the project drifts and, when you quote the next one, the real hours of similar installations.

What changes for you

Fewer hours in the office and more clarity on what you earn

Horaxa doesn’t give you another task: it takes it off your team and shows you the finished result.

You know what you earn

Every contract with its clock

See at a glance which contracts, breakdowns and installations are on track, which are running over on hours and which cost you more than you charge.

You know what they do

What each technician does, without calling them

Open a job and see who has been there, on which days, how many hours, what material they used and which reports they handed in.

You save time

No more chasing timesheets

Your technicians log their hours from their phones when they finish. The weekly timesheet fills itself in from those hours, with no retyping and no month-end spreadsheets.

You save time

Reports and quotes almost done

The technician dictates the report and out comes the Word document on your template. A customer’s email arrives sorted, with the urgent ones first, and the quote starts from your real hours. You review and confirm.

The AI proposes and your team confirms: it never sends an email, a report or a quote on its own.

What you see as the owner

Your jobs on one screen and customer emails in order

Real Horaxa screens with invented data: your contracts, breakdowns and installations with their clocks and, beside them, customer email with the urgent breakdown at the top.

Your contracts at a glance

Every contract, with its hours clock for the year

Grey while all is well, orange from 60% and red once it goes over. That way you know which customer is costing you more than they pay and whose fee to review.

Regulations

If you maintain installations over 70 kW

>70 kW

The RITE (Spain’s regulation on thermal installations in buildings) requires the owner to have a contract with an authorised maintenance company, which carries out the operations in the use and maintenance manual and issues an annual maintenance certificate.

  • Horaxa keeps the hours, the material and the report of each visit under the job for that installation: you have the basis of the operations log with no loose paperwork.
  • Horaxa does not issue the official certificate: your company signs it using the template of your autonomous community.

Questions from HVAC companies

How do I know whether an HVAC maintenance contract is profitable?

Add up the hours of all the preventive visits, the travel and the breakdowns the contract covers, multiply them by what an hour of your technician costs you, and add the material included. If the result comes close to the annual fee, the contract leaves no margin. In Horaxa every contract has an hours budget and a clock that warns you at 80%.

Can I see what each technician does on each job?

Yes. When you open a job you see who has been there, on which days, how many hours, what material has been charged and which reports have been handed in. The technician logs it from their phone, so you never have to call them or chase timesheets.

Can I separate travel hours from working hours?

Yes. Hour types are set up per company: travel, work, overtime or on-call hours are logged separately and appear that way on the weekly timesheet.

Does it work for a company that does breakdowns, maintenance and installations at the same time?

Yes. Every breakdown, every maintenance contract and every installation is a job with its budgeted hours, its material and its reports. The owner sees them all together and knows which one is going wrong.

Does Horaxa issue the RITE maintenance certificate?

No. Horaxa keeps the hours, the material and the report of each visit, which are the basis of the operations log, but the official certificate is signed by the authorised maintenance company using the template of its autonomous community.

How much does Horaxa cost?

€149 a month excl. VAT for up to 5 users and €349 a month for up to 20 users, with €15 a month per extra user and a one-off setup fee. No lock-in and a 15-day trial with no card. See pricing.

Try Horaxa on your three most doubtful contracts

15 days, no card needed. By the end you will know which one leaves you a margin and which does not.
